HR & Payroll Supervisor – Pride Veterinary Centre
We are seeking a highly organised and proactive HR & Payroll Supervisor to join our team on a 6 month fixed term contract. This role is essential to the smooth running of the hospital and supporting colleagues with high quality HR and payroll administration. This is a fixed-term contract for 6 months.
About the Role
This is a varied position with responsibilities spanning the full HR and payroll lifecycle. Key areas include:
Recruitment & Onboarding
Communicating with new starters to collect onboarding information
Managing visa requirements, including liaising with the central team or issuing/renewing CoS for internal transfers or external applicants
Creating personnel files (CV, interview notes, T&Cs, right-to-work and visa documentation, etc)
Creating offers on the Lever system and reviewing/signing contracts
Uploading all new starter documentation to Dayforce (HMRC forms, life assurance, manager assignment, work assignment percentages, RCVS details, etc)
Arranging VDS cover where needed
Ordering uniforms, name badges, and arranging security fob activation
Submitting IT tickets for logins and system access
Preparing New Starter Welcome Bags
First day tasks: right-to-work check, photos, answering queries, ensuring payroll details are captured in Dayforce
HR Administration
Managing the full leaver process across systems and departments
Overseeing absence management, including RTW forms, Dayforce accuracy, reporting, and manager training
Supporting probation processes and maintaining tracking spreadsheets
Note taking for disciplinary, grievance, and other informal/formal meetings
Maintaining accurate personnel records and ensuring compliance across HR systems and policy training
Delivering timely transactional HR support to ensure efficient service
Payroll
Processing overtime, one time payments, absence and similar pay-related items
Completing monthly payroll cut off tasks, including the pay approval checklist within required timeframes
Responding to payroll queries and resolving issues where possible
Liaising with the central IVC Payroll team when queries require escalation or further investigation
Reporting & Data Management
Producing regular HR and payroll reports (absence, allowances/deductions, starters/leavers, RCVS/RVN numbers, NMW updates, birthdays, long service, PDRs, etc.)
Responding to ad hoc reporting requests from managers
Maintaining data accuracy across spreadsheets, HR systems, and reporting tools
Manager Support & Process Improvement
Reviewing current working methods and contributing to improved efficiency and accuracy
Supporting team initiatives around engagement, sickness management, and service improvements
About the rota
This is a full-time role working 37.5 hours per week Monday-Friday.

Experienced in administration (HR, healthcare, or veterinary experience desirable but not essential)

Pride Veterinary Centre is a multi-disciplinary veterinary referral centre that is the central small animal hospital for the Scarsdale Veterinary group, as well as offering referral services for other veterinary practices across the midlands and beyond.
